Introduction

What is FlowQMS?

FlowQMS is a comprehensive Quality Management System (QMS) platform built specifically for organizations that follow the ISO 9001:2015 standard. It brings together all the tools you need to manage quality in one place:

  • Document Control — Create, review, approve, and version-control your quality documents (procedures, work instructions, forms, policies)
  • Quality Issues (NCR) — Log and track nonconformities, corrective actions, preventive actions, and observations through a structured workflow
  • Complaints Management — Receive, investigate, and resolve customer complaints with full traceability
  • Risk Register — Identify, assess, and treat risks and opportunities using a 5x5 impact/likelihood matrix
  • Internal Audits — Plan audits, create reusable checklists from templates, record findings, and track corrective actions
  • Training & Competency — Define training courses, set requirements by role, schedule events, and monitor compliance
  • Supplier Management — Maintain an approved supplier list, track evaluations and scorecards, and link supplier issues to NCRs
  • Equipment & Calibration — Register equipment, schedule calibrations, record results, and store calibration certificates
  • Inspections — Create inspection plans with acceptance criteria, perform inspections, and analyze pass/fail trends

Who is this manual for?

This manual is for anyone who uses FlowQMS in their daily work:

  • Quality Managers who oversee the entire QMS
  • Department Managers who handle approvals and team oversight
  • Quality Engineers / Editors who create and manage quality records
  • Team Members (Viewers) who need read-only access to quality information
  • External Auditors who need limited access during audit activities

User Roles

FlowQMS uses five user roles to control what each person can see and do:

AdminFull access to all modules and settings. Can invite users, assign roles, configure the system, and manage AI features.
ManagerCan create, edit, and approve records. Can view all modules. Cannot manage system settings or users.
EditorCan create and edit records. Cannot approve or delete.
ViewerRead-only access to all modules. Cannot create, edit, or delete any records.
External AuditorLimited access to audit-related modules only (Internal Audits). Cannot see NCRs, suppliers, KPIs, documents, or other modules.

Note: The buttons, menus, and actions you see in FlowQMS depend on your role. This manual describes the full feature set available to Admin users. If you have a different role, some buttons or menu items may not appear for you.
