Settings — Billing & Subscription

Navigate to: Settings > Billing tab

Required role: Admin

This tab lets administrators view the current subscription plan, monitor usage, and manage billing through the Stripe Customer Portal.

Current Plan

The top section displays your organization's active subscription:

Usage Meters

Three usage indicators show how much of your plan limits you are using:

Available Plans

The plan comparison section shows all available tiers with a Monthly / Annual toggle (annual plans save approximately 20%).

Upgrading or Changing Plans

First Subscription (from Trial)

If your organization is on the Trial plan, clicking Upgrade on any plan opens the Stripe Checkout page where you enter payment details and subscribe.

Existing Subscription

If you already have an active subscription, clicking Upgrade or Downgrade opens the Stripe Customer Portal where you can:

  • Switch between plans with automatic proration (credit for unused time on your current plan)
  • Switch between monthly and annual billing
  • Cancel your subscription
  • Update your payment method
  • View invoice history

Proration

When upgrading mid-cycle, Stripe automatically calculates the prorated amount. For example, upgrading from Professional ($99/mo) to Enterprise ($249/mo) halfway through the billing period charges only the difference for the remaining days.

Manage Billing

The Manage Billing button (shown when you have an active Stripe subscription) opens the Stripe Customer Portal where you can:

  • View and download past invoices
  • Update your credit card or payment method
  • Change your billing email address
  • Cancel your subscription

Frequently Asked Questions

Can I switch from monthly to annual billing? Yes. Use the Manage Billing button to open the Stripe Customer Portal, then update your subscription to an annual plan.

What happens if I downgrade? Your plan changes at the end of the current billing period. You keep access to higher-tier features until then.

How do I get a refund? Contact support. Stripe handles refunds automatically when processed by the platform administrator.

Is my payment information secure? All payment processing is handled by Stripe. FlowQMS never stores your credit card details — they go directly to Stripe's PCI-compliant infrastructure.
